Welcome to Trusted Health from the Trusted Human Resources Team!

The HR Team is here to help you with onboarding as a Trusted Employee.

DAY 1: You must complete your tax withholding & direct deposit forms on or before your 1st day of employment.

  • Trusted uses ADP for payroll and HR administration.You will receive an email from ADP via Trusted_Health.HR@adp.com, containing a Personal Registration Code (PRC).

  • The Equal Employment Opportunity Commission (EEOC) requires all private employers with 100 or more employees to complete an EEO-1 report each year. You are invited to self-identify gender and race for this report via the Demographics section of your ADP profile. More information regarding Trusted’s collection of EEO-1 data can be found in our EEO-1 guide.

DAY 3: You must complete Form I-9 within 3 days of your 1st day of employment, in compliance with U.S. federal law.

  • Trusted uses Tracker for I-9 management. Please be on the lookout for an email from Tracker via i9complete@trackercorp.com, with instructions for completing your I-9.

  • As you prepare for your upcoming assignment, please note that per federal law, you must physically present your identification documents for in-person verification.

DAY 30: You must complete your benefits enrollment within 30 days of your start date.

  • You are eligible for benefits ONLY if your current contract states that you are working for >20 hours in total weekly.

  • You have 30 days to finalize your elections as a new hire; however, your coverage will always retro-date to your 1st day of employment.


How do I set up my Trusted ADP account?

ADP is the system used for payroll and benefits administration as well as other onboarding items.

SETTING UP YOUR TRUSTED ADP ACCOUNT

You will receive an email from ADP containing a Personal Registration Code. Please check all of your inboxes, including junk, spam, and promotions folders.

If you do not receive your PRC email within an hour of receiving your Trusted Welcome Email, please send an email to hello@trustedhealth.com with the subject "PRC Needed."

Once you receive your PRC, you can create your Trusted ADP Account!

Use the following instructions to create your account:

  • On the Welcome page select CREATE AN ACCOUNT to create a new account

  • Click I HAVE A REGISTRATION CODE and enter the Personal Registration Code in your ADP email and continue

Helpful Tips:

  • While ADP does have an app, please register your account from a computer so that you can access all features of onboarding. Not all features are available in the app version, and ADP functions best with the browser google chrome.

  • ADP Accounts are employer-specific, so even if you have an existing account, you must create a new one through Trusted. If you have used ADP previously, you may need to clear your browser history, cookies, and cache so that it doesn’t try to pull old account information. ​

  • Need to update personal information such as name, address, or email in ADP?

  • PLEASE NOTE: ALL selections, entries, and updates made in ADP will be routed to the HR team for approval. All entries are approved within 1 business day M-F. Once approved, the entry will appear in your account.

How do I set up my Tax Withholdings?

  • As your employer, we are required to deduct taxes for the state you are working in. However, we can also set up deductions for the state you live in upon your request. Please see our Tax Withholding Guide for more information.

  • You will submit your tax withholding forms directly through ADP by going to… Myself > Pay > Tax withholding

  • We provide an optional resource for tax guidance here.

How do I set up my Direct Deposit?

  • You will enter your Direct Deposit information directly in ADP by going to… Myself > Pay > Pay Options

  • Please note that Trusted does not issue paper checks

How do I enroll in Benefits?

*** NOTE: You are eligible for benefits ONLY if your current contract states that you are working for >20 hours in total weekly.

  • To enroll in benefits in ADP, you will go to:
    Myself > Benefits > Enrollments

  • If you are eligible but do not wish to enroll in benefits, you can waive them by going to the same location in bold above. Lack of any action would also result in an automatic waiver of benefits.

  • Sequoia is Trusted’s Benefits Broker and is ready to answer all your benefit-related questions. You can contact their advocacy team here.

  • You can download the Sequoia Mobile app (highly recommend) to easily access benefit info after enrolling in ADP, as well as chat with their advocacy team directly through the app.

  • All Employees are automatically enrolled in our Employee Assistance Program (EAP) that is administered through Magellan. This is a FREE benefit, more information on this can be found here.

  • Check out our ADP Forms Library via Resources > Forms Library
    to view all of your health and welfare plan notices including:

    • Healthcare Exchange Notice

    • Wrap Summary Plan Description and Carrier Evidence of Coverage (EOC) Documents

    • Summary of Benefits and Coverage (SBC)

    • HIPAA Special Enrollment Rights

    • Children’s Health Insurance Program Notice (CHIP)

    • Notice of Newborns and Mothers Health Protection Act

    • Notice of Women’s Health and Cancer Rights Act (WHCRA)

    • Medicare Part D Notice of Creditable/Non-Creditable Coverage

  • It takes up to 7 days for your enrollment selections to be processed in the carrier’s system. Once this has been completed, you can access your medical cards directly through the carrier’s website (Anthem/Kaiser) OR through Sequoia.

  • IMPORTANT NOTE: All benefits are effective on day 1 of employment. You have 30 days to finalize your elections as a new hire. HOWEVER, YOUR COVERAGE WILL ALWAYS RETRO-DATE BACK TO DAY 1. If you take the full 30 days to finalize your elections, there will be catch-up deductions on the following pay to cover costs for the first 30 days.

What do I do if I'm injured at work?

Please ensure you seek any needed medical attention first foremost.

Notify your manager/supervisor at the facility so that an internal report can be filed, if necessary. Then, notify Trusted via your Inbox so that we can provide the steps to file a workers' compensation claim, ensure you're able to get the follow-up care you need, and that you are properly reimbursed.
