What important points do I need to know about being put on call by my facility and how do I document those hours?
We need to be able to verify that your call back hours were during your on-call shift
You are compensated for a minimum of 2 hours when you are 'called back'
Keep in mind, we require you to be clocked out and leave the facility for at least 30-minutes to qualify for the 2-hour minimum call back pay
On-call hours don't count toward your contracted hours for the week, but your call back hours do
Your regular rate, on-call rate, and call back rate are all paid out separately, rather than together/on top of
Guaranteed hours don't apply during the first and last week of your contract, as well as during holiday weeks
β For electronic timekeeping: Your documentation needs to show the exact clock-in and out times for your call-back shift and the total hours or exact times of your on-call shift.
If only your total on-call hours are listed on your electronic timekeeping, we need you to let us know your on-call shift's start and end times (this can be noted in 'Optional Notes')
If your exact call-back times and total or exact on-call hours are not listed on your timecard, then you will need to fill out a Trusted paper timecard with a Manager's signature and submit it with your electronic timekeeping documentation
β For paper timecards: Be sure to list the scheduled start and end times of the on-call hours so the entire shift is listed. This ensures that any eligible call-back hours can be paid out accordingly.
For example, if you are scheduled for an on-call shift from 19:00-07:00 and get called back in from 20:00-23:30, that is exactly how it would be logged.
I was called off for my shift and put on call, but I was never called in. How do I document my time?
If you are called off from a scheduled shift, placed on call for that entire shift, and are not called in, please ensure these hours are clearly documented as "called off by facility" as well as "on call" on your timekeeping documentation.
How does this impact my pay?
If you have guaranteed hours, you will be paid your regular rate for that shift up to your contracted hours for the week (during weeks where guaranteed hours apply) and your on-call rate.
If you do not have guaranteed hours or it is a week where guaranteed hours do not apply, you will receive your on-call rate but not your regular rate. You will still receive your stipend for the day and this call-off will count toward your cancellation policy (if applicable).
After your facility has used up all their allowable call-off shifts, if the facility calls you off and you are willing and able to work, you will then get paid for those hours.

If you are called off from a scheduled shift, placed on call for that entire shift, and you are called in, please ensure these hours are clearly documented as:
"called off by facility" for YOUR ENTIRE SHIFT, as well as,
"on-call" for the hours you were placed on call (this applies only to the hours you were not physically at your facility), as well as,
"call back" for the hours you worked at the facility
How does this impact my pay?
If you have guaranteed hours, you will be paid your regular rate for that shift up to your contracted hours for the week (during weeks when guaranteed hours apply), the on-call rate for the hours you were on call, and the call-back rate for the hours you were called back.
If you do not have guaranteed hours or it is a week where guaranteed hours do not apply, you will receive your on-call rate for the hours you were on call and your call-back rate for the hours you were called back - but not your regular rate. However, these hours will count toward your cancellation policy (if applicable).

How do I document my time if I am placed on-call outside of my contracted hours and then called into the facility?
If you have been placed on call outside of your contracted hours and you were called back into the facility, please ensure your entire shift clearly documents being "on-call" and the hours you were working while called in are clearly documented as "call-back" on your timekeeping documentation.
How does this impact my pay?
You will be paid your on-call rate for your on-call hours and your call-back rate during your call-back hours regardless if you have guaranteed hours or not
How do I document my time if I am placed on-call outside of my contracted hours and have to continue working after my regular shift has ended?
If you have been placed on call outside of your contracted hours and you continue working from your regular shift into your call shift, please ensure your documentation lists when your "on-call" shift began and the hours you were working while called in are clearly documented as "call-back" on your timecard.
How does this impact my pay?
You will be paid your regular rate until your regular shift has ended. Once your on call shift begins, and you remain working at the facility, you will be paid your call back rate. Once you clock out and leave the facility, you will be paid your on call rate for the remainder of your on call shift.
